What We Collect

We collect information in the following ways:

• Information you give us through your interaction and/or transaction with us via any medium, forms, methods or way including but not limited to our application form.
• Information we get from your use of our website and platform, which includes personal data.

You may be asked to provide personal data including but not limited to your name, address, identity card, passport number, occupation, age, place of birth, mailing address, photograph, video image, telephone number(s), email address(es) or contact preferences.

Where you intend to make online payment transactions, credit/debit card information will also be collected for processing such payments. Such information shall collectively be known as “personal data”.

What We Share

We do not share personal data with companies, organizations and individuals outside of our Consortium save for the purpose specified in this Privacy Notice.

We will be processing your personal data and/or any information that may be required by CONTeCT either from you or from any third parties including educational and non-educational institutions and agencies.

By providing us your personal data, you have agreed to provide your consent and authorisation for CONTeCT (and our Consortium) to obtain and verify your personal data in connection with your interaction and/or transaction with us.

Purpose of Data Collection

Depending on your relationship with us, the personal data we collect may be used for the following purposes:

Prospective Students & Students

• Assessing your application or continued provisioning of products and services
• Administering and managing your relationship as our student, including candidature matters, exchange programmes, scholarships, awards, fees, achievements, and certifications
• Carrying out due diligence or screening activities including background checks
• Processing applications for visa, scholarships and/or financial aid
• Dealing with student activities such as ceremonies, conferences, and programmes
• Processing and administering overseas exchange programmes and internships

Alumni

• Maintaining a lifelong relationship with CONTeCT's alumni
• Providing information about the Centre for Alumni and promoting alumni relations
• Research and analysis, and conducting statistics on alumni profiles
• Facilitating contact among programme participants for events and volunteer efforts

Prospective Employees

• Evaluating your application and general human resource operations
• Background checks in accordance with legal or regulatory obligations
• Administering employment relationships, benefits, and welfare programs
• Performance monitoring and assessment

General

• Carrying out your instructions or responding to enquiries
• Customizing content on our websites
• Research purposes including historical and statistical
• General operation, maintenance and audit of products and services
• Communication via voice call, text message, email or postal mail
• Investigation of possible fraud, misconduct, or unlawful action
• Photography and/or videos during events for publicity purposes

Who We Share With

CONTeCT may disclose your personal data to:

• Our Consortium or agents involved in provision of our products and services
• Third parties (including overseas) who provide data processing services
• Credit reference agencies or debt collection agencies in event of default
• Persons under duty of confidentiality engaged to fulfil obligations to you
• iCOOP College Malaysia
• Other educational institutions, sponsorship bodies and industrial training companies

CONTeCT may also disclose personal data if required by law or in good faith to comply with law enforcement requirements, court orders, or to protect the rights or property of CONTeCT and our Consortium.

Access, Correction & Withdrawal of Personal Data

You may request access, correction, or withdrawal of your personal data by contacting us. Please note:

• Withdrawal requests will be processed within a reasonable time. Note that withdrawal may adversely impact your relationship with CONTeCT.
• Access requests will be fulfilled within a reasonable time from the request being made.
• Correction requests will be processed as soon as practicable, including necessary verification activities. Corrected data will be sent to relevant organisations. Requests may be subject to a fee per PDPA provisions.

How We Administer & Manage Personal Data

We take appropriate measures to keep your personal data accurate, complete and updated. We make use of technical and physical measures including SSL/TLS protocols, encryption, and secured storage technologies.

Personal data in our possession will be destroyed and/or anonymized when the purpose for collection is no longer served and retention is no longer necessary for legal or business purposes.

Scope & Retention

This Privacy Notice applies to all services offered by CONTeCT and our Consortium but excludes services with separate privacy policies. It does not apply to services offered by other companies or individuals.

Your personal data will be retained only for the period necessary for providing our products and services. If further retention is required, we will obtain your consent unless extended retention is permitted by law.
